Vikasana Yoga & Ayurveda Retreat

These Terms & Conditions (“Agreement”) form a legally binding contract between the participant (“You” / “Participant”) and Vikasana Retreats, the trading name of Georgina Cobbold and Rhiannon Partington (“We” / “Organizer”). By completing the booking form and submitting payment, You acknowledge that You have read, understood, and agree to the following:

1. Booking & Payment

1.1 A non-refundable deposit of €400 is required to secure a place.
1.2 If not paying in full, you will receive a payment plan with dates to pay each installment. The final balance of the retreat fee must be received no later than 3 months prior to the start of the retreat. Failure to pay installments or the final balance may result in cancellation of your booking without refund of deposit.

1.3 Rooms are allocated on a first-come, first-served basis. Specific room requests will be accommodated where possible but cannot be guaranteed.

1.4 For single travellers wishing to book a shared room, we will make all reasonable efforts to pair you with another single traveller. If this is not possible, the single room rate will apply, and you will be liable for any associated costs.

1.5 Bookings are personal and non-transferable without the prior written consent of the Organizer. If you can no longer attend, and would like to transfer your place to a named person, you must contact us with their details at least 14 days prior to the event. Transfer of place will only be considered valid once the Organizer has confirmed in writing.


2. Cancellation & Refund Policy

2.1 Cancellations made by You more than 90 days before the retreat start date will result in a refund of payments made, less the non-refundable deposit.
2.2 Cancellations made within 90 days or less of the retreat start date are non-refundable. Any outstanding monies are legally due in the event of cancellation of 90 days or less from the start date of the event.
2.3 If the Organizer cancels the retreat for any reason other than Force Majeure (see Clause 9), a full refund of all payments received will be made.
2.4 The Organizer accepts no responsibility for any consequential expenses, losses, or damages incurred as a result of retreat cancellation. Participants are strongly advised to obtain their own private travel insurance to cover flights, accommodation, and other related costs.


3. Participant Responsibility & Health

3.1 By booking, You confirm that You are voluntarily participating in yoga, meditation, Ayurvedic treatments, hiking and all retreat activities, and that You are physically and mentally fit to do so.
3.2 You agree to disclose any pre-existing medical conditions, injuries, allergies, or other health issues that may affect Your participation prior to attending.
3.3 Participation in the retreat does not constitute medical treatment, and should not be used as a substitute for professional medical advice. You are advised to consult a healthcare provider before making any significant health or lifestyle changes.


4. Assumption of Risk & Release of Liability

4.1 You acknowledge that participation involves inherent risks, including but not limited to physical injury, illness, or psychological stress.
4.2 To the fullest extent permitted by law, You release and discharge the Organizer, its owners, employees, contractors, and agents from all liability for any injury, loss, damage, or expense suffered in connection with Your participation.
4.3 You agree that You are solely responsible for Your own safety and property during the retreat.


5. Indemnity

You agree to indemnify, defend, and hold harmless the Organizer from and against any claims, damages, liabilities, costs, or expenses (including legal fees) arising from:

(a) Your breach of this Agreement;
(b) Your conduct at the retreat;
(c) Any injury, loss, or damage caused by You to another participant, staff member, or property.


6. Conduct, Confidentiality & Removal

6.1 Respectful and considerate behaviour is expected at all times.
6.2 Participants acknowledge that during group sessions, workshops, or discussions, other participants may share personal, private, or sensitive information. Such information is shared in confidence and must not be disclosed outside the retreat environment.

6.3 Breaches of confidentiality, or behaviour that is disruptive, inappropriate, or unsafe, may result in removal from the retreat without refund.

6.4 The Organizer cannot guarantee complete confidentiality, as it depends on the good faith of all participants; however, a culture of privacy and respect will be upheld and encouraged.


7. Accommodation & Services

7.1 Accommodation and services are provided as described at the time of booking. However, the Organizer reserves the right to make changes due to operational requirements.
7.2 Special dietary requests must be communicated in advance; the Organizer will make reasonable efforts but does not guarantee full accommodation of all needs.


8. Photography & Media

8.1 Unless otherwise stated in writing before the retreat, Participants grant the Organizer permission to use photographs, video, or other media recordings of the retreat (which may include their image) for promotional and marketing purposes without compensation.

8.2 Participants are asked to be mindful and respectful when taking photographs or recording video during the retreat, particularly if other attendees are included. Discretion should be used before sharing such content publicly or on social media. Content that could be considered offensive, misleading, or harmful to the reputation of others or the retreat must be avoided.

8.3 The retreat organizers reserve the right to request removal of any media that is deemed disrespectful, inappropriate, or in violation of this agreement.


9. Force Majeure

The Organizer shall not be liable or deemed in breach of this Agreement for any delay or failure in performance caused by events beyond its reasonable control, including but not limited to natural disasters, pandemics, government restrictions, strikes, transportation issues, or other force majeure events.


10. Governing Law & Jurisdiction

This Agreement shall be governed by and construed in accordance with the laws of Spain. Any disputes shall be subject to the exclusive jurisdiction of the courts of that jurisdiction.


11. Entire Agreement

This Agreement constitutes the entire understanding between You and the Organizer and supersedes all prior discussions, communications, or representations.


12. Property Damage

Participants are expected to respect the property, facilities, and equipment provided during the retreat. Any damage caused by a Participant, whether intentional or due to negligence, may result in the Participant being held financially responsible for the cost of repair or replacement.
